Create one reliable information set
Before a formation provider starts drafting, collect the agreed company information in one place. Identify who is responsible for checking names, addresses, ownership details, and the intended business activity.
Ireland's Companies Registration Office describes incorporation as submitting Form A1 and a constitution through CORE, with Form A1 covering information such as the company name, registered office, directors, secretary, subscribers, and shares (Companies Registration Office). That makes consistency a practical priority from the outset.
Do not rely on a chain of corrections in separate emails. Maintain a controlled version of the formation information and record who approved the final details.
Check the documents together
The CRO requires the company name in the constitution to match Form A1 and distinguishes the constitution requirements for different company types (Companies Registration Office). Ask your adviser to confirm that the proposed form and documents reflect the business you intend to operate.
The CRO also identifies NACE classification for the principal activity and notes that an LTD company does not have objects in its constitution in the way other forms do (Companies Registration Office). Rather than copying wording from another company's documents, describe the activity clearly and ask your adviser to select the appropriate treatment.
A useful review meeting should cover the draft documents side by side. Confirm names, roles, shares, addresses, and signatures, then record any remaining questions.
Clarify what follows incorporation
Ask the provider to separate the initial formation service from continuing company-secretarial, accounting, tax, and registered-office support. If a service is not included, identify who will take responsibility.
Prepare a handover checklist:
- Final documents: Where will the approved and signed versions be stored?
- Official correspondence: Who receives it and who acts on it?
- Ongoing obligations: Which adviser will confirm the applicable calendar?
- Changes: How will ownership, officers, addresses, or activities be reviewed and updated?
- Operations: Who will establish invoicing, bookkeeping, and payment controls?
Keep unresolved tax, employment, licensing, and financial-account questions separate from the incorporation status. A finished filing should not make an unfinished decision disappear.
Close the project with a working handover
Schedule a brief review after the final formation documents are delivered. Confirm what has been completed, what remains open, and the next action each person owns.
The purpose is not to create a larger administrative burden. It is to make sure the people running the company can rely on the information supplied during formation instead of reconstructing it later.
