    Section 1

    Scope

This Privacy Policy applies wherever Hollis & Co meets you: our website at hollisand.co, our web and mobile applications, and any other online products and services we offer (collectively, the "Services"), as well as when you communicate or interact with us by any other means.

"Personal Information" in this Policy means information that relates to an identified or identifiable individual. It does not include:

    • Publicly available information
    • De-identified or aggregated information that cannot reasonably identify you

Hollis & Co provides USD business banking services through our banking partner, Column N.A., Member FDIC. Certain banking disclosures required by federal law — including our Gramm-Leach-Bliley Act ("GLBA") Privacy Notice — are provided separately and govern how Column N.A. treats your financial information in its capacity as a federally chartered depository institution.

    Section 2

    Personal Information We Collect

We collect information necessary to operate our business and provide you with our Services. This includes:

    2.1 Categories of Personal Information

    • Contact information and personal identifiers — full name, email address, phone number, mailing address, date of birth, government-issued identification numbers (e.g., Social Security number, ITIN, EIN), and username.
    • Financial and commercial information — bank account details, transaction history, account balances, ownership information, and business revenue or funding details.
    • Professional or employment information — company name, job title, company affiliation, ownership percentage, and business role.
    • Identity verification data — government-issued identity documents, biometric identifiers (including facial scans or voiceprints used to verify your identity), and information extracted from photographs you submit.
    • Demographic information — age, citizenship, jurisdiction of incorporation, and related business structure details.
    • Internet and electronic network activity — browser characteristics, device IDs, operating system version, language preferences, referring URLs, and information about your actions on our platform (e.g., page views, clicks, searches).
    • Geolocation data — approximate location derived from IP address.
    • Inferences — profiles drawn from any of the above to reflect preferences, risk characteristics, behavior, or aptitudes relevant to account management and compliance.
    • Audio and/or video recordings — recordings of calls made for onboarding, support, or compliance verification purposes.
    • Sensitive Personal Information — under applicable law, certain data we collect may be classified as sensitive, including government-issued identifiers, financial account numbers, and account login credentials. We use and share such information only as permitted by law.
    • Other information you choose to provide — information included in messages you send us, responses to surveys, or submissions in connection with any account inquiry.

2.2 Information We Process on Behalf of Your Business

If you use Hollis & Co for business purposes, we may process Personal Information about individuals connected to your business, including employees, contractors, authorized users, vendors, and counterparties. We collect this information when you provide it directly or when it is transmitted through integrations you authorize.

Where we process Personal Information on behalf of a business customer, we do so in accordance with your instructions and applicable law.

    Section 3

    Sources of Personal Information

Information reaches us in three primary ways:

    Directly From You

Information you provide when you apply for or open an account, use our Services, communicate with our team, enable integrations, or refer others to Hollis & Co.

Automatically Through Your Use of the Services

We collect information automatically through cookies, device identifiers, log files, and similar technologies when you access or use our platform.

    From Trusted Third Parties

    • Banking partners and service providers — including Column N.A. and identity verification, fraud prevention, and financial services companies.
    • Credit bureaus and agencies — to obtain consumer and commercial credit information where necessary.
    • Marketing and analytics partners — including data providers, referral partners, and advertising networks.
    • Publicly available sources — corporate registries, government databases, and other publicly accessible information.

    Section 4

    How We Use Your Information

Your information enables us to run our Services securely, responsibly, and in compliance with law. We may use your Personal Information to:

    • Provide, operate, and maintain our platform — including processing your application, completing transactions, verifying your identity, and communicating about your account.
    • Provide customer service — responding to inquiries, resolving issues, and fulfilling account-related requests.
    • Detect, prevent, and respond to fraud and security incidents — including authentication, monitoring for unauthorized activity, and complying with legal obligations related to financial crime.
    • Meet regulatory and compliance obligations — including Know Your Customer ("KYC"), anti-money laundering ("AML"), and Bank Secrecy Act requirements administered through our banking partner Column N.A.
    • Market and communicate with you — to send account notices, product updates, and, where permitted by law, marketing communications.
    • Improve and develop products — to make our platform more useful and to build new features tailored to the needs of internationally operating businesses.
    • Develop de-identified or aggregated data — information processed in a way that cannot reasonably identify you may be used for any purpose.
    • Process requests at your direction — such as connecting your account to a third-party service.
    • Comply with applicable law — and as otherwise permitted by law or with your consent.

    Section 5

    Data Retention

We retain Personal Information only as long as necessary, considering the following factors:

    • Providing and maintaining our Services
    • Complying with legal and regulatory obligations
    • Meeting tax, accounting, and financial reporting requirements
    • Preventing fraud and maintaining security
    • Resolving disputes and enforcing our agreements
    • Establishing, exercising, or defending our legal rights

Because Hollis & Co operates in a regulated financial environment through Column N.A., certain information may be retained for extended periods as required by federal banking law, including records required under the Bank Secrecy Act and applicable FDIC regulations.

    Section 6

    How We Disclose Personal Information

When we disclose Personal Information, we do so in accordance with applicable law. We may share your information with:

    • Column N.A., Member FDIC — our banking partner, which holds your deposits and provides core banking infrastructure. Column N.A. receives information necessary to open and maintain your account, process transactions, and comply with banking regulations.
    • Service providers — including web hosting, cloud storage, payment processing, data analytics, identity verification, fraud prevention, and customer support providers who act on our behalf.
    • Business partners — companies offering products or services complementary to Hollis & Co that you choose to access.
    • Credit bureaus and agencies — in connection with identity or credit verification.
    • Parties involved in a corporate transaction — such as a potential or actual acquirer, successor, or assignee as part of any reorganization, merger, acquisition, or sale.
    • Regulators, law enforcement, or government entities — where required by law, court order, or where we have a good-faith belief that disclosure is necessary.
    • Other third parties at your direction or with your authorization.

We may share de-identified, aggregated, or anonymized information that cannot reasonably identify you with any third party.

    Artificial Intelligence and Machine Learning

    7.1 How We Use AI

We use artificial intelligence and machine learning technologies to enhance security, streamline operations, and improve your experience. This includes using AI for fraud detection, identity verification, transaction monitoring, and platform improvement.

7.2 AI Features Within the Platform

Hollis & Co may offer AI-assisted features — such as account summaries, compliance flagging, or treasury analysis — that process your financial data. Because machine learning systems learn from the data they process, you should avoid entering Personal Information into AI prompts that you do not want used for improvement or training purposes.

    Section 8

    Cookies and Tracking Technologies

We, and our third-party partners, use cookies, web beacons, pixels, and similar technologies (collectively, "Tracking Technologies") to operate, secure, and improve our Services. These tools help us:

    • Authenticate users and prevent fraud
    • Understand product performance and improve usability
    • Measure communication engagement
    • Provide relevant content and, where applicable, advertising

Where required by law, we rely on consent for non-essential cookies.

    Types of Cookies We Use

Essential Cookies are required for the platform to function. They enable secure login, fraud prevention, account session management, and core features. Without these, parts of the Services will not work.

Analytic and Performance Cookies help us understand how the platform is used so we can improve it. We may use third-party analytics providers such as Google Analytics. To opt out of Google Analytics, visit Google's opt-out tool.

Functional Cookies remember your preferences and settings so your experience remains consistent across sessions.

Advertising Cookies may be used to measure the effectiveness of communications and to show Hollis & Co content on third-party platforms. Under certain U.S. privacy laws, use of these technologies may constitute "sharing" of Personal Information. You may opt out through your browser settings, device-level privacy settings, or industry opt-out programs such as the Network Advertising Initiative or the Digital Advertising Alliance.

    Do Not Track Signals

Because there is no consistent industry standard for how services should respond to Do Not Track signals, we do not currently respond to them. Where required by applicable law, we honor legally recognized opt-out preference signals such as the Global Privacy Control ("GPC").

    Links to Other Websites

Our Services may contain links to third-party websites or services. Those parties operate independently with their own privacy practices. We are not responsible for their privacy practices and encourage you to review their policies.

    Section 9

    Your Privacy Rights and Choices

Depending on where you live, you may have rights and choices regarding your Personal Information. Below is a summary of those rights and how to exercise them.

    9.1 Everyday Controls

    • Account Information. You may update certain profile information through your account settings.
    • Marketing Communications. You may opt out of promotional emails at any time by clicking "unsubscribe." You will continue to receive transactional and account-related messages.
    • Device Permissions. You may control platform access to mobile device features through your device settings.

    9.2 Legal Privacy Rights

If you are located in a jurisdiction with applicable privacy laws, you may have the following rights:

    • Right to Know / Access — request the categories and specific pieces of Personal Information we have collected about you, sources, purposes, and third parties with whom it was shared.
    • Right to Correct — request correction of inaccurate Personal Information.
    • Right to Delete — request deletion of your Personal Information, subject to exceptions (e.g., where retention is required by law or to complete a transaction).
    • Right to Restrict or Object — in certain circumstances, object to or request restriction of specific processing.
    • Right to Opt Out of Sale or Sharing — you may have the right to opt out of the "sale" or "sharing" of Personal Information as defined under applicable law.
    • Right to Non-Discrimination — we will not discriminate against you for exercising privacy rights.
    • Right to Appeal — if we deny your request, you may have the right to appeal our decision depending on your jurisdiction.

Please note that certain consumer privacy rights (such as those under the California Consumer Privacy Act) may not apply to Personal Information processed in a business-to-business context, or to information governed by the GLBA.

9.3 How to Exercise Your Rights

To submit a privacy request, contact us at privacy@hollisand.co. To protect your information, we will verify your identity before fulfilling your request. We will respond within the timeframe required by applicable law.

    9.4 Authorized Agents

In some jurisdictions, you may designate an authorized agent to submit requests on your behalf. We may require written authorization, proof of the agent's identity, and independent verification of your identity. If we cannot verify both, we may deny the request.

9.5 EEA, UK, and Canadian Residents — GDPR & UK GDPR

If you are located in the European Economic Area (EEA) or the United Kingdom, your Personal Information is protected under the EU General Data Protection Regulation ("GDPR") and, in the UK, the UK GDPR as incorporated into domestic law by the Data Protection Act 2018.

Legal basis for processing. Where GDPR or UK GDPR applies to our processing of your Personal Information, we rely on the following legal bases:

    • Contract performance — processing necessary to open and operate your account and provide the Services you requested.
    • Legal obligation — processing required to comply with applicable laws and regulations, including AML/KYC obligations administered through Column N.A.
    • Legitimate interests — processing for fraud prevention, security, platform improvement, and communications, where not overridden by your interests or rights.
    • Consent — where we rely on consent (e.g., certain marketing communications), you may withdraw it at any time without affecting prior processing.

Your GDPR / UK GDPR rights. In addition to the rights listed in Section 9.2, EEA and UK residents have the right to data portability (receive a copy of your data in a structured, machine-readable format) and the right to object to processing based on legitimate interests. To exercise any of these rights, contact privacy@hollisand.co.

Supervisory authority complaints. If you believe we have not complied with applicable data protection law, you have the right to lodge a complaint with your local supervisory authority. UK residents may contact the Information Commissioner's Office (ICO). A list of EU supervisory authorities is available from the European Data Protection Board.

Canadian residents may file a complaint with the Office of the Privacy Commissioner of Canada or the applicable provincial privacy authority.

    Section 10

    International Data Transfers

Hollis & Co is headquartered in the United States, and we store and process Personal Information in the United States. If you are located outside the United States — including in jurisdictions such as the EEA, United Kingdom, Canada, the United Arab Emirates, Singapore, the Cayman Islands, or elsewhere — please be aware that information you provide may be transferred to, stored, and processed in the United States, which may not provide the same level of data protection as your home jurisdiction.

Our Services are designed for internationally operating businesses that wish to maintain USD accounts in the United States. By using the Services from outside the United States, you acknowledge that your information may be transferred to and processed in the United States in connection with providing you with those Services.

EEA and UK transfers under GDPR. Where we transfer Personal Information from the EEA or United Kingdom to the United States (a country not recognised by the European Commission or UK authorities as providing an adequate level of data protection), we rely on appropriate safeguards to protect your information. These safeguards may include the European Commission's Standard Contractual Clauses ("SCCs"), the UK International Data Transfer Agreement ("IDTA"), or other legally recognised transfer mechanisms. To obtain further information about these safeguards, please contact us at privacy@hollisand.co.

    Section 11

    How We Protect Your Information

Security is part of the design, not an afterthought. We use commercially reasonable technical, physical, and organizational measures to protect the security and confidentiality of the Personal Information we collect and store. Our banking infrastructure is provided by Column N.A., a nationally chartered depository institution subject to federal banking supervision and examination.

However, no system can be guaranteed fully secure. We cannot ensure or warrant the security of any information you transmit to us or that we store on your behalf.

    Section 12

    Children

Hollis & Co is designed for businesses and adults. Our Services are not directed at children under 13, and we do not knowingly collect Personal Information from children under 13. If we become aware that we have collected Personal Information from a child under 13, we will take steps to delete it promptly.

    Section 13

    Changes to This Privacy Policy

We may update this Privacy Policy from time to time. When we do, we will post the updated policy to this page and update the "Last Updated" date. If we make material changes, we will notify you through appropriate channels — such as an email to your registered address or a notice within the platform. We encourage you to review this policy periodically.
